Your mission
Become the heartbeat of our Munich headquarters and a key enabler for smooth, efficient operations across our European offices. In this role, you’ll take ownership of our Munich workspace creating a welcoming, well-organised environment where our teams can thrive.

You’ll provide proactive support to the team, managing a wide range of administrative and organisational tasks with precision, discretion, and a positive, can-do attitude. From coordinating events and handling logistics to ensuring day-to-day office excellence, you’ll make sure everything (and everyone) stays connected and aligned.

While Munich will be your main base, your impact will extend far beyond it. You’ll help nurture consistency, collaboration, and culture across our other European hubs in Paris, Barcelona, Pfäffikon, Belgrade, Sofia, Bucharest, and Skopje. Occasional travel will give you the chance to connect with colleagues in person and bring the deskbird experience to life across borders.
In this role you will
  • Manage our office operations in Munich and ensure smooth coordination across all European hubs.
  • Be the main point of contact for local office needs, such as co-working spaces, equipment, and logistics.
  • Plan and execute company-wide events, including our annual summit, offsites, and team bursts.
  • Collaborate with People, Finance, and Operations teams to manage event budgets and logistics efficiently.
  • Partner with external vendors, venues, and partners to deliver seamless events and great employee experiences.
  • Support internal communication and engagement around events, travel arrangements, and local office initiatives.
  • Create and maintain a sense of connection and culture across our distributed teams.
  • Develop processes and best practices for managing multiple hubs and events across regions.
What you need to be successful
  • 1-3 years of experience in office management, event coordination, or operations in a fast-paced or international environment (startup, scale-up, or similar).
  • Exceptional organisational and project management skills with sharp attention to detail.
  • Experience managing events and logistics across multiple European locations.
  • Hands-on mindset and ability to work independently while staying highly collaborative.
  • Excellent communication and stakeholder management skills.
  • Fluency in German and English (both required); additional European languages are a plus.
  • Willingness to travel across Europe for events and onsite coordination.
  • Based in or near Munich.
